We are seeking a highly proactive and resourceful Personal Assistant to provide support to our Managing Director (MD) and two Directors in a dynamic, fast-paced environment here at Barclays. This is a pivotal role requiring exceptional organisational skills, initiative, and the ability to manage confidential and complex matters with discretion and professionalism.

You'll provide seamless executive support to the MD and Directors, including diary management, travel coordination, and meeting preparation. You'll take ownership of key forums and governance meetings: scheduling, agenda setting, minute-taking, and action tracking. You'll act as a gatekeeper and liaison point between senior leadership and internal/external stakeholders. You'll be responsible for preparing high-quality documents, presentations, and reports with minimal oversight and will be required to anticipate needs and proactively resolve issues before they arise.

To be successful as a Personal Assistant, you should have experience with:

  • Proven experience as a Personal Assistant or Executive Assistant in a corporate setting.
  • Strong initiative and a proactive mindset – you don’t wait to be asked.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities under pressure.
  • Confident in supporting high-level forums and senior stakeholders.
  • Proficiency in Microsoft Office Suite and collaboration tools.

This role can be based in Knutsford, London, or Northampton.

Purpose of the role

To provide administrative and organisational support to executives, managers, or teams. To manage schedules, acting as a trusted point of contact, ensuring seamless coordination, efficient task management, and a professional presence for their assigned individuals or teams. 

Accountabilities

  • Management of executive, managers or team calendars and overseeing timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation and ground transportation, ensuring timely and efficient travel for the executive or team.
  • Proactively anticipating the needs of the executive or team, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
