To be successful as a “PMO Analyst and EA", you should have experience with:
Basic/ Essential Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail.
- Ability to multi-task, prioritize and switch effectively between tasks.
- Prior work experience of EA.
Key Accountabilities as EA:
- Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and facilitate communication between the executive and stakeholders.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Perform other administrative duties as required to support the executive's office, meeting room bookings etc.
- Proactively anticipating the needs of the senior executive, prioritizing tasks, and ensuring timely completion.
- May be required to login early in order to support Singapore executives.
Key Accountabilities as PMO:
- Co-ordinate with tech leads and project leads to generate Monthly project reporting packs.
- Work with Tech Leads and delegates to ensure all achievements are submitted centrally.
- Follow-up internally with team/PMs for timely update of periodic reports.
Desirable skillsets/ good to have:
- Familiarity with monthly time reporting and financials.
- Willingness to login early at times, to support Singapore time zone.
This role will be based out of Pune.
Purpose of the role
To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed.
Accountabilities
- Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
- Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
- Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
- Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
- Management and facilitation of senior executive members meetings.
