Join us as a Personal Assistant & Administration professional supporting senior leadership in a fast-paced, global environment. In this role, you will manage complex calendars, coordinate meetings and travel, and ensure smooth day-to-day administrative operations. You will use sound judgment and discretion, anticipate stakeholder needs, and balance multiple priorities. As a key point of contact, you will deliver high-quality support and help drive the efficiency and effectiveness of the wider team.

To be successful as a Personal Assistant & Administration, you should have:

  • Personal Assistant experience supporting senior stakeholders in a global or corporate environment

  • Strong calendar management, organization, and prioritization skills

  • Proven experience supporting senior stakeholders in a fast-paced, corporate environment

  • Advanced calendar management and meeting coordination skills, including scheduling across time zones

  • Experience coordinating travel and itineraries, and managing logistics end-to-end

  • Strong judgment and discretion, with the ability to handle sensitive information confidentially

  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

This role is located in New York.

Minimum Salary: $80,000

Maximum Salary: $115,000

The minimum and maximum salary/rate information above include only base salary or base hourly rate. It does not include any other type of compensation or benefits that may be available.

Purpose of the role

To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed. 

Accountabilities

  • Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
  • Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
  • Management and facilitation of senior executive members meetings.
